Accomplished.

Privacy Policy

Version 1 · in effect from 25 October 2026

This policy explains what personal data Accomplished collects when you use accomplished.pro, whether you book sessions as a member or offer them as a mentor, how we use and protect it, and the choices you have.

1. Who we are

Accomplished is a trading name of Irreplaceable Spark Conferences Ltd, a company registered in England and Wales with company number 17167443 and registered office at 6th Floor, 37 Lombard Street, London EC3V 9BQ, United Kingdom. We are the controller of the personal data described in this policy.

For any privacy question or request, email help@accomplished.pro.

2. What we collect

Your account

  • Your name, email address and password. We store the password only as a one-way hash, so nobody at Accomplished can read it.
  • Whether you are a member or a mentor, and when you signed up.
  • Notes our team adds to your account to help run the platform, for example about a support request.

If you are a mentor

  • Your profile: headline, biography, areas of expertise, subject areas, photograph, prices and any contact email you choose to add.
  • Your availability, unavailable dates, session lengths, booking limits and time zone.
  • If we invite you to join as a mentor, we may draft your profile from your speaker profile with The Irreplaceable Spark and from information you have made public, such as your website. You can change it at any time from your dashboard.
  • If you connect a Google Calendar, the data described in section 3.

Bookings

  • Who booked whom, the session's date, time, length and price, its status, and its video meeting link.
  • Cancellations and changes of time.

Payments

  • Payments are taken by Stripe. Your card details go directly to Stripe, and we never see or store them.
  • We keep the amount of each payment and refund, and Stripe's reference numbers for them.
  • When you follow a mentor's referral link, we record the time, your IP address and your browser type. If you allow it, we also set a cookie for 30 days. We use these only to credit the mentor if you then sign up or book, and to spot fake referrals.

Sign-up security

  • When you sign up, Cloudflare Turnstile checks that a person, not an automated program, is filling in the form. Cloudflare processes your IP address and browser information to do this.

Technical records

  • Our servers keep logs of errors and system events so we can keep the service working and secure. These logs are deleted after 30 days.

3. Google Calendar data

Mentors can choose to connect a Google Calendar so that members cannot book times when the mentor is busy. Connecting is optional, and Accomplished only ever has read-only access.

What we access

  • Your Google account email address, so you can see which account is connected.
  • The list of your calendars, so you can choose which ones count. We store only the identifiers of the calendars you choose, never their names.
  • For the calendars you choose, each event's identifier, start time, end time, whether it is cancelled or marked busy or free, and your own reply to it (for example, declined). We do not request or store event titles, descriptions, locations, other attendees or any other event content.

How we use it

  • To hide your busy times from your booking page, and to check again with Google at the moment a member books.
  • To recognise the calendar invitation for a session booked through Accomplished, so it is not treated as clashing with itself.
  • To warn you if a confirmed session clashes with a time you have marked busy.
  • To show you, on your dashboard, which upcoming times your calendar is blocking.
  • To help you if something goes wrong: our support team can see whether your calendar is connected, the connected account's email address and when it last refreshed. They cannot see your busy times.

We use Google user data only to provide these features. Only you can see your busy times. Members see only which times can be booked.

What we keep, and for how long

  • The access granted by Google, stored encrypted with a key used for nothing else.
  • Your busy times for the next 120 days only, replaced about every 15 minutes, so times that have passed or events you delete drop out at the next refresh.
  • When you disconnect your calendar from your dashboard, or your account is closed, we ask Google to revoke our access and immediately delete the stored access, your calendar choices and all busy times.
  • You can also remove our access at any time from the third-party connections page of your Google Account.

Sharing and limits

  • We do not share, transfer or sell Google user data. It is stored only on our hosting provider's servers (see section 6).
  • We do not use Google user data for advertising, to decide creditworthiness or for lending, or to build databases for any purpose other than the features above.
  • We do not use Google user data to develop, improve or train artificial intelligence or machine learning models.
  • People at Accomplished do not read Google user data except as described above, with your permission, where needed for security, or where the law requires it.

Accomplished's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

4. Session invitations and video meetings

When a session is booked, we create the meeting in Google Calendar from our own account, help@accomplished.pro, and Google Meet provides the video link. To send the invitations, Google receives the mentor's and the member's names and email addresses. The invitations are set up so that the mentor and member do not see each other's email address, and Accomplished does not give either party the other's contact details. We keep the event in our Google calendar for as long as we keep the booking record (see section 8), then delete it.

5. Why we use your data

We rely on these legal bases under UK data protection law:

  • Contract: to run your account, publish mentor profiles, take bookings and payments, and send session invitations.
  • Legitimate interests: to credit referrals, prevent fraud and abuse, keep the platform secure, handle complaints and disputes, and improve the platform by studying how sessions are booked. You can object to this use (see section 9).
  • Consent: to read your Google Calendar, if you are a mentor and choose to connect it, and to set the referral cookie, if you allow it. You can withdraw consent at any time, by disconnecting your calendar or through Cookie choices at the bottom of every page.
  • Legal obligation: to keep financial records and meet our tax and legal duties.

What you must give us

To create an account we need your name, email address and a password. To list you as a mentor we also need your profile, prices and availability. Without these we cannot provide the service. Everything else is optional.

Automated decisions

We do not make decisions about you based only on automated processing that have legal or similarly significant effects.

6. Who we share it with

  • Mentors and members: when you book, the mentor sees your name and the booking details, and you see the mentor's profile.
  • Service providers working for us: Amazon Web Services (hosting and storage), Stripe (payments), Google (calendar invitations, Google Meet and calendar connection) and Cloudflare (sign-up security). They may use the data only to provide their service to us, except that Stripe also uses payment data for its own fraud prevention and legal duties, under Stripe's privacy policy.
  • Authorities and advisers: where the law requires it, or to protect the rights and safety of our users and others.
  • A buyer of our business: if the platform is sold, the data would pass to the new owner under this policy.

We do not sell personal data, and we do not use the content of sessions for marketing.

7. Transfers outside the UK

Our servers are in the United States, in Amazon Web Services' US East region, and Stripe, Google and Cloudflare may also process data outside the UK. Amazon Web Services (through Amazon.com, Inc.), Google LLC, Stripe, LLC and Cloudflare, Inc. are each certified under the UK Extension to the EU–US Data Privacy Framework, which UK law recognises as giving adequate protection. You can check this on the Data Privacy Framework List. Where a provider processes data in the European Economic Area, the UK's adequacy regulations for the EEA apply.

8. How long we keep it

  • Account and profile: while your account is open. When you close your account, we delete your password, profile, photograph and availability straight away, and your account can no longer be used or seen by others.
  • Booking and payment records: six years after the session, together with the name and email address of each party. We need them for tax records, to handle complaints and legal claims, and to study how sessions are booked. We then delete them.
  • Referral records: 90 days after the click, we delete the record entirely if it did not lead to a sign-up or booking. If it did, we delete the IP address and browser type and keep the record of which mentor referred you for as long as we keep your account or booking records, because the mentor's credit depends on it.
  • Session invitations in our Google calendar: six years after the session, with the booking record.
  • Google Calendar data: as set out in section 3.
  • Server logs: 30 days.
  • Backups: copies of our database are kept for 7 days.

9. Your rights

You have the right to ask for a copy of your personal data, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on consent, you can withdraw it at any time.

To use any of these rights, or to close your account, email help@accomplished.pro. We will reply within one month. If you ask us to delete your data, we will, except for the booking and payment records in section 8, which we must keep for tax or may need for complaints and legal claims.

If you are unhappy with how we handle your data, you can complain to the UK Information Commissioner's Office at ico.org.uk. We would appreciate the chance to put things right first.

10. Security

  • Every page is served over an encrypted connection (HTTPS).
  • Passwords are stored only as one-way hashes, and Google Calendar access is encrypted with its own key.
  • Our database is not reachable from the internet, and only authorised members of our team can access personal data.

11. Cookies

We use no advertising or analytics cookies. These cookies are needed for the site to work, so we set them without asking:

  • Login: keeps you signed in, for up to 30 days.
  • Preview access: remembers that you entered the preview password, for up to 30 days, while the site is in preview.
  • Calendar connection: used for 10 minutes while a mentor connects a Google Calendar.
  • Cookie choice: remembers your answer about the referral cookie, for 6 months.

This cookie is set only if you allow it:

  • Referral: remembers which mentor's link you followed, for 30 days, so they get credit if you sign up or book.

When you arrive through a mentor's link, we ask before setting it. You can change your answer at any time through Cookie choices at the bottom of every page. If you say no, any referral cookie is deleted.

12. Age

Accomplished is for adults. You must be 18 or over to create an account.

13. Changes to this policy

We publish every update on this page with the date it took effect. If we change how we use Google user data, or use any personal data in a new way, we will tell you before the change and ask for your consent where the law requires it.
